Securing Your Reservations

I. Availability

All availability must first be checked with the Property Manager, Joshua Lufkin. At that time he will be able to check if your desired dates are still open or if any other dates are open that may work for your group.

II. Contracts

Contracts should be carefully read and then signed. They are the final agreement of arrival dates and departure times. The contract should be mailed back to Fjeldheim at the mailing address located on the top of contract.

III. Finalizing Reservations

In order to confirm your booking at Fjeldheim, three things are required in advance:

  1. A returned signed contact that was sent out on the affective agreement date per your conversation with Joshua Lufkin. The contract should be carefully read noting the exact rental dates, time of arrival and time of departure. The rules pertaining to the house should also be thoroughly reviewed.
  2. A down payment check made out to Fjeldheim LLC should be sent with the signed contract. The down payment is typically equal to one night rental. This will be held and cashed upon arrival and will go towards the balance of the vacation rental.
  3. A security deposit check for $1000 made out to Fjeldheim LLC is also required with the signed contract and down payment. Please remember that this check is never cashed unless there is excessive damage to the property (please refer to Section 3 of the contract for explanation). The security deposit will be promptly returned to the rental client upon final walk through.

IV. Cancellations And Refunds

Upon written notice of cancellation from a registered guest to owner, owner shall charge registered guest as follows:

  • (A) Within 90 days the guest shall be refunded 100% of the down payment and security deposit.
  • (B) Within 60 days of the arrival time the guest will be returned 50% of the down payment (usually one night rental) and the full security security deposit. If the owner is able to occupy the exact dates that were cancelled by another rental group, at the owners discretion, 100% of the down payment and security deposit may be refunded.
  • (C) Within 30 days or less there will be no refund of the down payment or security deposit. If there are extenuating circumstances such as death or illness the owner will take this into account.

V. Payments

The initial down payment can made by check to Fjeldheim LLC or by credit card processing through PayPal. The remaining balance can be paid upon the arrival date of your tenancy. Failure to pay balance at tenancy start date shall be subject to cancellation at the owners’ sole and complete discretion without refund of any amounts previously paid.

VI. Check-in And Check-out

Check-in is at 3:00 PM on the start date of your tenancy.

Check-out is 12:00 PM on the last day of your tenancy.

Alternative times must be negotiated with the Property Manager well in advance.
